Blog Post: Jobs@NAV203 (Copying a Job)

We have reached an agreement with a new customer, to make some construction. The agreement resembles an earlier job - 'Building of Wall'. Therefore, it will save significantly time to copy that earlier job to new. We can select the source job and task lines that you want to copy. We can also select to copy the source job ledger entries, which creates planning lines based on actual usage, or we can copy the source job planning lines, which copies the original planning lines to the new job. We can then choose what planning line or ledger entry line type that we want to include, selecting only what is relevant to this new job. Finally, we can select the job that we want to copy to and define whether prices and quantities should be copied as well.

Copying procedure start from Job Card window. We have to create new Job (I described this in my old posts) by clicking on ‘New’ command. I will make new job no. ‘CONSTRUCT-2’ and add description and new Bill-to Customer ‘ElectroMAROC’. On the Actions tab, we need to choose ‘Copy Job Tasks from…’ and in the ‘Copy Job Tasks’ window, enter the following:

  • Job No.: CONSTRUCT
  • Job Task No. from: BUILDING
  • Source: Job Planning Lines
  • Incl. Planning Line Type: Schedule + Contract
  • Also, we can choose ‘Copy Quantity’ and ‘Copy Dimensions’.

When we finish process, we will get all planning lines on new job same as source job planning lines:

The planning dates on the planning lines that we copy will be the same dates as the planning dates in the planning lines that we copy from. After we have copied, we can change these dates by running the ‘Change Job Planning Line Dates’ batch job. We can start this batch job from Jobs->Periodic Activities->Change Job Planning Line Dates. I will describe this functionality in next post.

Also, we can make copy from existing Job to new Job in reverse process. On source Job card, we start ‘Copy Job Tasks to…’. System will start the same command with reverse filled fields.

On ‘Copy Job Tasks’ window, we can use next specific fields:

  • Copy from:
    • Job No.: Enter the job number of the job we want to copy from. Choose the field to see a list of available jobs. (in ‘Copy Job Tasks from…’ case, this field is automatically filled)
    • Job Task No. From: To copy planning lines for a certain range of job tasks, enter the first job task number to be copied from in this field. Only planning lines with a job task number equal to or higher than the number specified in this field will be included.
    • Job Task No. To: To copy planning lines for a certain range of job tasks, enter the last job task number to be copied from in this field. Only planning lines with a job task number equal to or lower than the number specified in this field will be included.
    • Source: In this field, we select the basis on which we want the planning lines to be copied. If, for example, we want the planning lines to reflect actual usage and invoicing of items, resources, and general ledger expenses on the job we copy from, then we must select ‘Job Ledger Entries’ in this field. If we do not want to copy any ‘Job Planning Lines’, select ‘None’.
    • Incl. Planning Line Type: Specify the planning line type we want to copy from. The options are as follows (we only have to fill in this field, if we selected ‘Job Planning Lines’ in the ‘Source’ field.):
      • Schedule+Contract: All planning lines are copied;
      • Schedule: Only lines of type ‘Schedule’ or type ‘Both Schedule and Contract’ are copied;
      • Contract: Only lines of type ‘Contract’ or type ‘Both Schedule and Contract’ are copied.
    • Incl. Ledger Entry Line Type: Use this field to specify the job ledger entry type we want to copy from. The options are as follows (we only have to fill in this field if we selected ‘Ledger Entries’ in the ‘Source’ field.):
      • Usage+Sale: The program copies all job ledger entries, regardless of type. Entries of type ‘Usage’ are copied to new planning lines of type ‘Schedule’. Entries of type ‘Sale’ are copied to new planning lines of type ‘Contract’.
      • Usage: The program copies all job ledger entries of type ‘Usage’ to new planning lines of type ‘Schedule’.
      • Sale: The program copies all job ledger entries of type ‘Sale’ to new planning lines of type ‘Contract’.

    • Starting Date: To copy planning lines or ledger entries for a specified period of time, enter the starting date of that time period in this field. Only planning lines or ledger entries with a planning date on or after the starting date will be included.
    • Ending Date: To copy planning lines or ledger entries for a specified period of time, enter the ending date of that time period in this field. Only planning lines or ledger entries with a planning date on or before the ending date will be included.
  • Copy to:
    • Job No.: Enter the number of the job that we want to copy planning lines to. Choose the field to see a list of available jobs. (in ‘Copy Job Tasks to…’ case, this field is automatically filled)
  • Apply:
    • Copy Quantity: Select to copy the quantities to the new job.
    • Copy Dimensions: Select to copy the dimensions to the new job and job tasks.
