That is a very important piece of the big picture, but for some companies streamlining the document delivery process is a much higher priority.

Let’s talk about companies in the manufacturing industry, for example. The process of matching related documents and sending them out can be very time consuming. Having to dig through filing cabinets and search for picking sheets, sales orders, material certs, or inspection sheets to be copied, attached and sent out adds hours of menial work each day. To save time, doc-link‘s automated output piece will pull together all of the related documents required to go with a shipment and send them to the printer pre-collated. It’s a simple piece of the full paperless solution, but it saves companies hours of work each day and reduces the chance for error.

Another process that could be impacted is the routing of AR invoices. If all of your customers were happy to have their invoices emailed your life would be much easier – but that rarely is the case. Some want them emailed, some faxed, some physical copies in the mail. Many even require specific supporting documents to be included as well. With a document management solution each of these documents would be sent the appropriate way depending on the receiver’s preference. Those being emailed will be attached to an email with a customized message along with any of those supporting documents or maybe a marketing flier. Those being mailed will be sent to the printer pre-collated. Eliminating the need for human intervention streamlines the whole process and saves the accounts receivable team a lot of time.

You can take the concept of automating document delivery and apply it to any process you have. It could be internal reports that need to be sent out to the team regularly. Or an external alert that something needs to be done. One of our customers in the insurance industry uses output automation in combination with some of Altec’s other components to examine the system for documents that are missing or need to be verified. At that point a request for missing documents is created and sent out automatically to the appropriate client.
